This team member will be responsible for providing a comprehensive range of administrative support to SVP and the Total Rewards team (as needed). This team member will also be assigned special projects as requested.
ROLE RESPONSIBILITIES
- Provide the full range of administrative support to the SVP and general support across Total Rewards. Administrative support including expense reports, managing complex calendars, scheduling high-level, time-sensitive meetings (including coordinating meetings related to the Committee meetings, and Educational Sessions), arranging complex domestic and international travels (), schedule and coordinate off-site, virtual and in-house meetings and completing expenses, tracking monthly invoices, ePAY invoices, yearly SOW & POs (consultants, legal and surveys, as applicable) on a timely manner. Coordinate posting of all materials to Board Vantage for the Committee meetings and distribute/print copies of materials, handouts, and or backup as needed.
- Assist in the preparation, distribution and tracking of annual executive agreements, stock ownership letters, compensation statements, Transfer of Employment & Retention Agreements and monthly adhoc grants, as needed
- Manage Executive Compensation and Benefits Colleague Service Center inboxes, and Fidelity Quarterly Service survey
- Update as needed, templates related to surveys, country factors, proxy analysis and market data related item
- Completes quality work on a timely basis, using judgment to identify most urgent issues and working to resolve them immediately.
- Demonstrates expert collaboration and communication skills and works proactively in a team environment to share knowledge, influence best-practices, and coordinate workflow. Works well with staff located across various sites, as well as with external contacts, to coordinate schedules and priorities.
- Handle correspondence / documents of a “confidential nature” and where appropriate respond to, create, compose and/or edit written materials and/or e-mail responses.
- Proactively coordinate team meetings, prepare, and edit meeting agendas, minutes & action items, reports, and presentations using Microsoft Office software and other tools such as WebEx and Teams.
- Works well in self-directed environment, with minimal instruction needed, assumes increased levels of responsibility, and takes accountability for decisions and outcomes.
- Expedite flow of work and initiates follow-up when necessary.
- Exercises sound judgment in anticipating priorities and potential conflicts to ensure deadlines are met and leaders are prepared.
- Effectively balances competing priorities.
BASIC QUALIFICATIONS
- High School Diploma or GED
- 5 years administrative experience that demonstrates an ability to carry out all office functions proficiently
- Experience supporting multiple senior leaders
- Demonstrated strong self-starter, independent, pro-active, and self-motivated
- Previous experience that demonstrates ability to carry out administrative functions proficiently and to complete quality work on a timely basis
- Demonstrate resourcefulness with proven ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative
- Ability to work well both in team environment as well as operate independently with minimal supervision
- Independent, proactive and anticipate needs versus reactive
- Must have the ability and professional demeanor to interface with senior management, international colleagues and important external stakeholders and must be able to exhibit good judgment in handling confidential information
- Knowledge of Pfizer organization processes and procedures preferred
- Excellent attention to detail
- Proficiency in MS Word, PowerPoint, and Outlook are essential and Excel a plus
- Proficiency in Pfizer systems (e.g., PT&E, Ariba, and Sharepoints) preferred
