Facilities Administrative Assistant Overview: The Facilities Administrative Assistant position is based in a fast paced environment with a high demand for organizational skills. Under the One Town Concept, this position will serve both the Town of Cape Elizabeth along with the Cape Elizabeth School Department. Qualifications: Education: High School Diploma (minimum)Maine CHRC certification (criminal records check)Self-starter and able to work under limited supervisionExceptional clerical, communication, organizational, and technical skills necessary Responsibilities: Ability to think outside the box and assist in developing new methods to improve processes within the facilities department.Provide administrative support to Operations Manager and Director of FacilitiesCollaborate with school administrators as needed to ensure facility and staff needs are addressedInteract with students, staff and parents in a courteous, professional mannerUnderstand access control software and ability to make changesSchedule facility reservations with MyRec scheduling software along with Google CalendarsFacility use invoicing and payment collectionDistribute weekly facility use schedulesSchedule field reservationsOversee key accountability and assignmentMonitor Facilities emailMonitor Facilities mailMonitor current certificates of insuranceAnswer the phone and return calls from messagesOther duties as assigned Work Schedule: Flexible hours within normal working hours (8:00-5:00 M-F) Reports to: Director of Facilities Operations Manager of Facilities
