Job Summary:
Provide accurate and timely entry level accounting and clerical services for accounting staff.
Essential Functions:
- Opens all department mail daily, date stamps mail for accurate time of arrival and distributes to appropriate staff members.
- Follows-up on distribution problems and redirects to appropriate parties.
- Maintains and files fiscal records and supporting documentation including accounts payable vendor files, canceled checks and other fiscal and general accounting records and files as assigned.
- Orders office supplies using department procedures.
- Performs word processing services for department staff.
- Inputs journal entries and bank deposits into Automated Accounting System.
- Makes copies, sorts, and assembles information.
- Maintains confidentiality in all matters.
- Performs entry level accounting activities applying accepted procedures to the preparation and maintenance of accounting and other related records.
- Mails Accounts Payable checks to appropriate parties.
- Receipts all incoming cash.
- Receives and logs Contract Health Service (CHS) and Tribal Health Trust checks for mailing, including reconciling checks to Clinic check registers for accuracy and makes any necessary changes.
- Accurately and timely enters and posts appropriate data into accounting software system.
- Performs Accounts Payable set-up for payment in automated accounting system.
- Maintains and sets up new vendor accounts in automated accounting system.
- Requests/receives W-9 forms from vendors and maintains W-9 documentation files.
- Process check requests without purchase orders into automated accounting system.
- Assist Accounts Payable Techs with Accounts Payable batch entries into automated accounting system.
- Attends weekly and monthly Accounting staff meetings.
- Performs a variety of other duties as assigned by supervisor.
Education, Experience, and Licenses:
- Requires a High School diploma or GED equivalent.
- Six (6) months of post High School coursework in general bookkeeping principles or office systems and procedures is preferred.
- Requires a minimum of two (2) years of clerical/data entry experience.
- OR equivalent combination of education, training and experience.
- Must maintain a valid Oregon driver's license or obtain one upon hire, qualify for the Tribe's vehicle insurance, and provide proof of personal vehicle insurance.
Qualifications, Registrations, and Certifications:
- Must possess solid interpersonal skills.
- Must have proficiency with Microsoft Office applications which includes Word and Excel.
- Must have ability to efficiently plan, schedule and accomplish a variety of tasks simultaneously and within appropriate time constraints.
- Must have the ability to read and interpret documents such as accounts payable vendor documents, safety rules, operating and maintenance instructions, and procedure manuals.
- Must maintain confidentiality at all times.
- Must possess strong organizational skills in order to manage multiple tasks in an often fast-paced and stressful environment.
- Ability to operate standard office equipment, including copy machines, fax machines, and personal computers required.
- Knowledge of and sensitivity to Native American culture required.
Environmental Factors and Conditions/Physical Requirements:
- Continually requires the ability to express or receive detailed information or important instructions through oral communication.
- Continually requires working with fingers rather than the whole hand or arm. Requires repetitive movement of wrists, hands and/or fingers. Often requires walking or moving about to accomplish tasks.
- Requires standing and/or sitting for sustained periods of time, raising objects from a lower to a higher position and/or moving objects horizontally.
- Occasionally requires lifting of up to 40 pounds.
- Due to the nature of the interactions with other employees and the public we serve, employees may be required to provide documentation of, or receive, certain health vaccinations.
- This position is frequently subject to inside environmental conditions which provide protection from weather conditions, but not necessarily from temperature changes, and is occasionally subject to outside environmental conditions.
- May be called upon to serve as a Disaster Reservist during Emergencies, or when the Tribal Emergency Operations Center is opened.
- Local travel is occasionally required. Travel outside of the state is infrequently required.
