The Speaker Program Coordinator is primarily responsible for overseeing and executing logistics support for (1) HCP and Ambassador Speaker recruitment and (2) vetting and securing of venues per client SOPs and policies. This individual will have a strong project management and operations background and possess an advocate customer-service mindset to provide best-in-class logistics support to internal and external stakeholders for select pre-program logistics steps of the speaker program lifecycle.
As a Speaker Program Coordinator, Life Sciences Center of Excellence, you will
- HCP and Patient Ambassador Speaker outreach, coordination, and confirmation of participation in client Speaker Programs per company policies/SOPs
- HCP and Patient Ambassador Speaker selection in Speaker Program Logistics Platform as applicable
- Program status monitoring, document retention, and file management
- Venue vetting and contracting per client policies and SOPs
- Key point of contact for program hosts and HCP/Ambassador Speakers
- Liaison between Speaker Program Logistics Vendor, Client Team, Hosts, and Speakers as applicable
- Escalation to Business Unit Partners as necessary
About you
- Experience working in regulated healthcare operations environment required, as well as understanding of CIA, Compliance, Privacy, and State & Federal regulations (preferred)
- Highly detail-oriented with a high level of elevated level of service with an “operations” and “customer-service” mindset
- Ability to be proactive and anticipate/avoid potential pitfalls
- Skilled at managing multiple deliverables and timelines simultaneously
- Ability to provide consultative support during challenging situations
- Strong interpersonal and stakeholder management abilities
- Excellent written and verbal communication skills
- Ability to understand and interact with engagements systems
- Ability to prioritize and multi-task in a fast-paced environment, manage several projects simultaneously, meet deadlines, and communicate potential conflicts to leadership
- Must cover East/West coast hours; some weekend
- Experience supporting life sciences customers
- Meeting planning/logistics coordination experience mandatory; speaker bureau experience strongly desired
- Creative thinker with a passion for making positive impressions
- Persuasive communicator
- Expertise in Microsoft Office and PowerPoint
