The EIB, the European Union's bank is seeking to recruit for its Finance Directorate (FI), Planning and Settlement of Operations Department (PRO), Loan Administration & Reflows Division (LAR), Loan Administration Unit (LA) at its headquarters in Luxembourg, a (Senior) Loan Administration Officer*.
This is a full-time position at grade 5/6 for which the EIB offers a permanent contract.

Purpose
As (Senior) Loan Administration Officer you will review and autonomously process loans and equity/equity type post-disbursement events in the back-office loans systems, based on instructions received from Operations (OPS) or Portfolio Management and Monitoring (PMM) directorates in order to properly service the loan in relation to post disbursement events and to timely and accurately capture the changes in the Bank’s back-office systems.
Operating Network
You will report to the Head of Unit, and autonomously execute key processes of various complexities, ensuring the overall quality of the unit’s output and compliance with the Bank’s policies and processes. You will assume an advisory role and represent the team in working groups/transversal initiatives, or occasionally, act as a backup to the Head of Unit for operational matters upon the request of management. The unit participates in the New Products consultation process for lending activities and is frequently involved in considerably more complex forbearance and restructuring situations designed to protect the EIB’s financial interest and reputation.
Accountabilities
- Record and validate key tasks in the unit, including prepayments, rate revisions/conversions, various contractual amendments such as loan pricing updates, credit related events and post disbursements equity type business;
- Review instructions against relevant contractual documentation and other supporting data sources;
- Stay abreast of the Bank’s broad range of new financial investment vehicles, notably under the EFSI umbrella and other prominent initiatives including, among others, the European Guarantee Fund, Funding Lines and Liquidity Facilities;
- Carry out various recurrent tasks including interest rate renewals on floating rate / index-linked loans. Autonomously process various types of post-disbursement events for Equities and Quasi-Equity type transactions ranging from the recording of ad hoc cash flows to forbearances and comprehensive financial restructuring transactions.
- Advice on potential impacts resulting from new investment vehicles on the unit’s operational tasks in collaboration with the New Products Technical Support Unit;
- Advise on optimisation of the back-office tool (WallStreet Systems Commercial Loan Module (WSS-CLM) and its interfaces with other systems. Identify solutions to record data for new products, new mandates and/or non-standard transactions.
- Provide technical and policy advice to managers within FI on business applications;
- Analyse and propose streamlining of unit procedures and workflows and adjustments to WSS-CLM and NOW applications with a view to ensuring effective transaction processing with appropriate controls;
- Provide expert advice and recommendations derived from Notes to Files in the context of contractual amendments and other complex post disbursement events forming the basis for data capturing in the systems.
- Provide regular reporting on progress on specific projects aimed at improving the unit’s operating efficiency;
- Produce statistics and reports from various databases. Set up new reports aiming at monitoring data quality and consistency in core applications used by the unit;
- Represent the unit in transversal initiatives and working groups affecting the Bank’s lending activities;
- Support and represent the Head of Unit and/or Head of Division on operational matters;
- Share knowledge with and provide training to more junior team members;
Qualifications
- University degree, preferably in a business related field i.e. Business Administration, Accounting, Economics. University degree in IT Systems Management is of interest in combination with lending related professional experience;
- Additional relevant postgraduate studies or professional qualification would be considered as an advantage;
- Minimum of 5 years of relevant professional experience within a financial institution, preferably either in the back office, in commercial lending or as a financial analyst. Experience in a lending Middle or Front Office would be considered a distinct advantage.
- Excellent knowledge and understanding of financial products;
- Excellent numerical skills and knowledge of financial analysis.
- Very good understanding of loan documentation;
- Leadership experience (e.g. as a team lead or project lead) would be considered an advantage
- Proficiency in standard IT applications (particularly Excel);
- Knowledge of relevant EIB IT applications (e.g. WSS-CLM) would be considered as a distinct advantage;
- Knowledge of the Bank’s lending products offering will be considered as a distinct advantage;
- Knowledge of other reporting applications or statistical analysis experience will be considered as an advantage;
- Excellent knowledge of English and/or French (*), with a good command of the other. Knowledge of other EU languages would be an advantage.

(*) Unless stated explicitly as a required qualification, a good command of French is not a pre-requisite for hire. As both English and French are however official working languages of the EIB, proficiency in both languages is a pre-requisite for your future career development. Any language clause in your contract must be fulfilled in order for you to be eligible for a promotion (either via the annual appraisal cycle or via an internal selection process). Proficiency is understood to mean the attainment of level 5 of the Inter Institutional language courses, corresponding to B1.2 of the Common European Framework of Reference for Languages (CEFRL).
