The Legal Services Coordinator position will provide administrative, clerical and office support and act as the liaison between the company, its internal and external business teams, and legal counsel.


SUPERVISION RECEIVED AND EXERCISED

Receives direction from and reports directly to General Counsel


ESSENTIAL JOB FUNCTIONS

Essential duties may include but are not limited to the following:

  • Provide wide range of administrative duties in direct support for the Office of General Counsel
  • Provide other administrative duties as otherwise required or needed
  • Receive, review, and file/forward incoming correspondence as appropriate. Maintain filing system, including scanning, closing and shredding/destroying of paper and electronic files.
  • Manage and maintain schedules, calendars, and answer telephone calls (including responding to routine requests, determining who the appropriate attorney or personnel is for a particular matter, determining when calls require immediate escalation, making and returning calls, as needed, managing some calls independently).


Legal Department Responsibilities

  • Manage contracts email account and respond to general requests including requests from business teams for copies of contracts that are filed in repository/document library
  • Manage processing of all MNDA requests.
  • Responsible for ensuring documents are properly executed.
  • Assist with the archiving, uploading, and storage of electronic and paper contract files
  • Draft and maintain reports for the Office of General Counsel (including litigation reports, contract review queue reports, and other reports as needed).
  • Proof, draft, and finalize various correspondence, legal documents, and presentations.
  • Respond to general requests including requests from business teams for copies of contracts that are filed in the repository/document library.
  • Assist with accounting and billing and maintaining invoicing tracker for the Office of General Counsel.


Environmental Health & Compliance Responsibilities

  • Maintain Steritech Alignment File this is a time-consuming responsibility requiring daily maintenance and accuracy
  • Pull data for Steritech Failed Assessment Billing every Monday morning and email to Franchise Administration
  • Send weekly Alignment File updates to Steritech; this is done every Monday morning; some updates may need to be sent in between, as needed, due to urgency
  • Pull Steritech data for QA Monthly Report and email to QA Team
  • Email Steritech Bi-Weekly report to QA
  • Pull Steritech data for Brand Protection Report
  • Update the Alignment File with new stores and notify Steritech
  • Update the Alignment File with any updates to Operation Consultant region changes/updates
  • Update the Alignment File with any updates to Zax LLC RM/DM region changes/updates
  • Pull Steritech Compliance data for Franchisees on the ZAC/Subcommittees as needed
  • Pull Steritech Compliance data for Franchisees for Expansion Requests (Growth Readiness)
  • Send email notifications for New Store Announced Steritech Assessments
  • Send email notifications for Steritech NAR Training Requests
  • Send email notifications for Steritech Coaching Evaluations
  • Process approved Steritech new user requests; add to alignment file; notify Steritech and new user with instructions for logging in
  • Review Steritech monthly invoice for accuracy
  • Attend Bi-Weekly Steritech Conference Call
  • Attend Bi-Weekly Compliance Committee Conference Call


TRAVEL REQUIREMENT

Less than 25% required


QUALIFICATIONS

  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Outstanding interpersonal skills and telephone etiquette
  • Extremely detail-oriented and able to successfully multi-task
  • Ability to work long hours, as needed
  • Consistent application of sound judgment and responsible decision-making
  • Ability to maintain the highest degree of confidentiality regarding all aspects of work at all times
  • Very strong attention to detail is critical
  • Excellent communication skills; both written and verbal
  • Excellent documentation skills
  • Ability to work independently as well as with a team
  • Project management skills with the ability to manage multiple priorities in a fast pace work environment desired


EDUCATION AND EXPERIENCE GUIDELINES

  • Education: Bachelors degree in Business Administration or related field; or equivalent combination of education and experience
  • Experience: 5+ years of experience working in a law firm or the legal field and/or providing high-level executive support


STANDARD HOURS

Monday Friday

8:00 AM 5:00 PM


REMOTE WORK ELIGIBILITY

Up to 50% of remote work

Based in Atlanta, GA; 2024 onsite 5 days a week.
